Overview

The FlyNumber phone system is a visual call management platform for handling inbound calls, making outbound calls, recording conversations, and delivering voicemails. Using a drag-and-drop interface, you connect modules—building blocks like voicemail, menus, and ring groups—to create your ideal call setup.

How It Works

At its core, the phone system answers one question: what happens when someone calls your FlyNumber?

The answer depends on how you configure it. There are two approaches:

Direct Routing (Simple)

The fastest way to get started. In your contact method settings, select your FlyNumber as the "DID Number" and calls will ring that destination directly—no panel configuration needed.

This works for:

  • App configurations (receive calls on the phone system app)
  • SIP accounts (receive calls on VoIP phones)
  • PSTN forwarding (receive calls on a regular phone)
  • SIP forwarding (route to external VoIP systems)
Either/Or

When you assign a FlyNumber as the DID Number in a contact method, that number becomes exclusively linked to that destination. It won't be available in the Phone Number module on the panel. Choose one approach per number: direct routing OR call flow routing.

Call Flow Routing (Advanced)

For custom call logic, leave the DID Number field empty in your contact methods and instead build a call flow on the panel. Use a Phone Number module as the entry point, then connect it to other modules to create paths like:

  • Caller dials in → hears a greeting → presses 1 for Sales or 2 for Support
  • Caller dials in → rings your team during business hours → goes to voicemail after hours
  • Caller dials in → gets screened by caller ID → VIPs connect immediately, others wait in queue

When you connect or modify modules on the panel, your phone system updates in real-time. There's no "save" or "deploy" step.

The Role of Contact Methods

Contact methods define where and how you receive calls. They include:

  • App configurations - receive calls on the FlyNumber phone system app
  • SIP accounts - receive calls on VoIP desk phones or softphones
  • PSTN forwarding - receive calls on regular mobile or landline numbers
  • SIP forwarding - route calls to external VoIP systems
  • Email - receive voicemails and recordings

Most phone system setups require at least one contact method because you need a destination for your calls. Even a voicemail-only setup typically requires an email contact method so you can receive the recorded messages.

However, contact methods aren't always required. If you configure a delivery method like Google Drive or Dropbox, your voicemails can be sent directly to cloud storage instead of email.

Getting Started

Before building call flows, you'll need to create a user in the system. Users can then be assigned contact methods for receiving calls.

Key Components

Modules

Modules are the building blocks you place on the panel. Each handles a specific function:

Call Flows

Call Flows are separate, independent phone system workspaces. Most users only need one (the default). You'd create additional Call Flows to run completely separate phone systems—for example, if you manage multiple businesses from a single FlyNumber account.

Within a Call Flow, you can create workspace tabs to visually organize complex configurations. Tabs are for layout purposes; everything in the same Call Flow still shares the same phone numbers and users.

Delivery Methods

Delivery methods determine where recordings (voicemails, call recordings, faxes) are sent:

  • Email
  • Google Drive
  • Dropbox
  • OneDrive
  • FTP/SFTP

Configure these once, then select them when setting up voicemail or recording modules.

Outbound Calling

The phone system isn't just for receiving calls. You can also make outbound calls using your FlyNumber as the caller ID through the phone system app.

Call Like a Local

When calling numbers in the same country as your FlyNumber, you benefit from local calling rates. A UK FlyNumber calling UK numbers pays UK domestic rates. See the billing guide for rate details.
